01 · Walkthrough

One record. Six ways in.

Follow one fictional employer, Kaveri Textiles LLP, from the laws that apply to it to the payroll its HR head approves. Every screen is live HTML built from the product, with illustrative data.

    249 Acts. 1,840 forms. Assigned per client.

    Central and state labour laws, researched and structured down to the form: what to file, who it goes to, how often, and when.

    • 39 central laws with 364 forms, plus state laws across all 36 states and UTs
    • Each entry records the authority, periodicity, filing mode, period covered and rule reference
    • Labour Code mapping shows which Code subsumes each old Act, and which forms stopped applying, from 21 Nov 2025, 8 May 2026 and later dates
    • Assign laws to a client in a few clicks. The due dates follow automatically.

    152 of the 1,840 forms are currently marked for verification. We show the uncertain entries rather than hide them.

  2. 02Due-date calendar

    Due dates that build themselves.

    Monthly, quarterly, half-yearly, annual and event-based obligations, generated from each client’s assigned laws, with filing status laid over the top.

    • Month and full-year views, “Due this week”, and a month timeline
    • Status per period: Pending, Filed or Overdue, with the date filed and the amount
    • Payroll liabilities (PF, ESI, PT by state, LWF, TDS) posted onto the right due date when a month is finalized

    Dates falling on the 29th–31st move to the last day of shorter months. No missing February deadlines.

  3. 03Records vault

    Challans, returns and registers, filed where an inspector would look.

    A folder for every law, financial year, quarter and month. Your team uploads; your client finds.

    • Folders by regulation, then financial year, quarter and month
    • Drag-and-drop upload, preview in the browser, five view modes
    • Undo a move or delete. Name clashes resolved with Replace, Rename or Cancel.
    • Payroll outputs (salary register, bank advice, PF ECR, ESIC file) saved automatically under the pay month

  4. 04Audit trail

    Who did what, and when. For every action.

    Filings, uploads, downloads, previews, edits, sign-ins, approvals and payroll steps are recorded against the person and the client.

    • Before and after values for master-data and billing changes
    • Payroll entries record counts and IDs only, never salary amounts
    • Visible to the firm and to the client, for that client’s records

    Kept for 3 years, well above the CERT-In minimum of 180 days.

  5. 05Team portal

    Built for firms that run many employers.

    One workspace for every client your team looks after, with the same discipline for each.

    • Client register: add a client and check GSTIN and CIN against GST and MCA records. Mismatches in state, PIN or year of incorporation are flagged before you save.
    • Work allocation: assign each client to team members. Staff see only their allocated clients, enforced on the server.
    • Roles: administrators control sensitive steps (adding clients, finalizing and reopening payroll, paid lookups). Team members prepare the work.
    • Company Data: upload the employee master in Excel. Re-uploads update people in place and never erase someone with payroll history.

    Billing and collections too: GST tax invoices for your fees, payment proofs from clients, and cancellation with a recorded reason.

  6. 06Client portal

    Your compliance, visible. Without chasing anyone.

    A private portal for each employer, at its own clean addresses (/client/due-dates/, /client/records/, /client/payroll/), so bookmarks and shared links work.

    • Dashboard of what is due this week and what was added recently, plus the full due dates calendar and your records vault
    • Payroll: registers, statutory totals and payslip copies. Approve or send back with a reason.
    • Employees, invoices with payment-proof upload, and a full audit trail of your account
    • Export your applicable regulations and compliance status to Excel

    Several logins per employer, each with its own password. Accounts are created by your Shardhan team.

04 · Roles & maker-checker

The person who prepares it cannot approve it.

The server checks it, not a button on a screen. The approver must be someone other than whoever last computed the payroll, and the employer can be that checker from its own portal.

  • Finalize and reopen are for administrators only.
  • Reopening is refused once any statutory return for the month (PF, ESI, PT, LWF or TDS) is marked Filed. Corrections go into next month as adjustments.
  • Access is limited to assigned clients, on every screen.
  • Every step is written to the audit trail with who and when.
