Run your clients on Shardhan's team portal, with your team allocated per client and client portals for your employers.

We run it. You watch, check and approve.

Shardhan Consultants runs your compliance and payroll on the platform. You get the client portal to watch, check and approve.

02 · Onboarding

Five steps, and nothing goes live until it matches.

Every step has an owner on our side and a short list of what we need from yours.

  1. Walkthrough and scope

    We map your establishments, states and headcount to the Acts that apply, and agree who approves payroll on your side.

  2. Set-up

    We add your company, checked against GST and MCA records, assign the laws, and import your employee master from Excel. Your existing workbook format works; we add columns only if needed.

  3. Payroll configuration

    Pay heads and salary structures, PF/ESI/PT/LWF registrations per state, payable-days basis (calendar, 30 or 26), PF basis, payslip password rule, and your logo on payslips.

  4. Parallel run

    We run one month alongside your current payroll. Net pay must match. We validate the first ECR on the EPFO portal and the first ESIC file on the ESIC portal.

  5. Go live

    Portal logins for your team (each person sets their own password on first sign-in), payslips e-mailed under your name, and liabilities on your calendar.

03 · What we need from you

A short list, sent once.

Send files through the portal's records vault, not e-mail. They are encrypted as soon as they arrive.

  • Employee master code, name, PAN, UAN, ESIC IP number, bank and IFSC, work state, monthly gross
  • Registrations PF establishment code, ESIC employer code, TAN, PT and LWF registrations
  • Last month salary register and year-to-date tax figures
  • Your logo PNG or JPEG, up to 1 MB
  • Approvers names of the people who will approve payroll

04 · A month with Shardhan

What a normal month looks like

Day 1 to day 31 of a typical month. Your own dates depend on your pay cycle.

  1. Payroll

    Day 1: The month opens

    Joiners and exits are listed automatically. Anyone without a salary is flagged.

  2. TDS

    Day 7: TDS deposited

    Last month’s TDS is due by the 7th, under s.392 of the Income-tax Act 2025. The challan goes into the vault.

  3. PF · ESI

    Day 15: PF and ESI filed

    The ECR on the EPFO portal and the ESIC contribution for last month are due by the 15th. The calendar shows Filed.

  4. Inputs

    Day 25: Inputs in

    Attendance, loss-of-pay days and one-time items arrive around the 25th. Upload your attendance export as it is.

  5. Compute

    Day 26: Compute & review

    Full register with statutory summary. Net pay that moves 20% or more from last month is flagged.

  6. Approval

    Day 27: Maker submits, checker approves

    A different person approves, or you approve in the client portal. Either can send it back with a reason.

  7. Finalize

    Day 28: Finalize & outputs

    The month is locked. Register, PF ECR, ESIC file and password-protected payslips are generated, and liabilities are posted to the calendar.

  8. Bank

    Day 29: Bank advice

    The bank advice goes to your bank and salaries are paid.

  9. Payslips

    Day 30: Payslips sent, on a click

    Someone on your team clicks Send payslips. Payslips are never e-mailed automatically.

  10. Calendar

    Day 31: Next month is already waiting

    TDS by the 7th, PF and ESI by the 15th: on the calendar before the month ends.

Can we keep our current payroll software during onboarding?

Yes. We run one month in parallel and go live only when net pay matches.

Which states do you cover?

All 36 states and UTs for Professional Tax and LWF, and central plus state labour laws across all of them in the law library.

Do you handle the new PF ceiling?

Yes. ₹25,000 from 17 Sep 2026, including the split calculation for September 2026.

Are you ready for the Labour Codes?

The 50% wage rule and Code-based gratuity are built in; statutory bonus is entered as a one-time item. Code-format registers and returns are Coming.

Old or new tax regime?

Both. The new regime is the default, and you can set the old regime per employee. Old-regime investment declarations and proofs are Coming.

Can our employees log in?

Not yet. Employees receive password-protected payslips by e-mail. Self-service is on the roadmap.

Can we approve payroll before it is paid?

Yes. When client approval is switched on, the register waits for your approval in the client portal, and you can send it back with a reason.

Do you file the returns and pay the challans?

The platform produces the files and tracks filing. Filing is done by your Shardhan team as part of the engagement.

Where is our data stored, and who can see it?
